Key Notes

Govs Suite is driven by date and status. In order for time to transfer for payment, items must be entered on the correct dates and in an approved status at the time timecards are transferred for payment. If they are in a status other than Approved, they will not transfer.

Changes can be made at any time, but the change must be approved, and the timecard the change impacts must be approved and/or Reapproved, so it will transfer the next time timecards are transferred.


Webclock Users (Timekeeping)

Why don鈥檛 I have a current timecard?

If you have not clocked in/out you will not have a timecard. You must register a clock in/out punch for the system to generate a timecard.

What do I do if I forgot to clock in/out?

You will need to Request Time Change by going to Me/Time&Absences/Request Time Change.

  1. If you missed one punch but have others already on the day you will select the pencil to edit the day to add the missing punch. Make sure to Submit your entry. If it is not Submitted it will not get Approved and will not transfer for payment.

  2. If you did not register any time at all you will select the + to add time. Make sure to Submit your entry. If it is not Submitted it will not get Approved and will not transfer for payment.

Why can鈥檛 I update my timecard?

Webclock users are required to clock in/out to record their time. If adjustments are needed they will need to Request a Time Change. Once the change is Submitted and then Approved by the Supervisor, the change will update the timecard.


General Campus Time Card Users (Timekeeping and Absences)

How do I request time off?

You will go to Me/Time&Absences/Add Absence

  1. Make sure to Submit your entry. If it is not Submitted it will not get Approved and will not transfer for payment.

How do I know if my absence has been approved?

  1. You will go to Me/Time&Absences/Existing Absence

  2. Review the status. If it is not Complete you will need to check with your Supervisor to approve. If it is not in Approved status it will not transfer for payment.

Where do I record my Comp Time Earned?

  1. You do not record your Comp Time Earned on your timecard. The system has been programmed to calculate Comp Time Earned based on the Worked Hours you record in your timecard. You should record each day on your timecard for the full number of hours you actually work.

  2. Example: Mon = 7.5, Tues = 7.5, Wed = 10, Thus = 7.5 & Fri = 7.5. The system will apply any hours over 37.5 to straight comp and then anything over 40 to premium comp, based on your actual hours worked.

  3. If you have a comp time earned accrual you can see the calculation in your timecard by selecting View Calculated Time.

Where is my Comp Time Earned?

  1. If you have future dated leave requests your Comp Time Earned will be applied to those requests.

  2. Policy states that Comp Time Earned must be used before Annual Leave. The system will apply any earned Comp Time to Annual leave requests automatically.

I earned Comp Time. Why I don鈥檛 see it on my pay statement?

The pay statement only displays what is actually being paid. Comp Time Earned is transferred to your Comp Time Leave Balance 鈥渂ucket鈥. You can view the Comp Time Balance by going to Me/Time & Labor/Absence Balance. Select this leave type to open transaction history.


Webclock & General Campus Timecard users (Accessing and Submitting Time)

Why can鈥檛 I see/access my timecard?

If the date you are trying to access your timecard is after the end of the pay period (Sunday) you will need to go into Me/Time&Absences/Existing Timecard to view and Submit your timecard.

How do I submit my timecard?

  1. Go to Me/Time&Absences/Existing Timecard

  2. Select the timecard you need to submit by clicking on the blue date of the timecard.

  3. Review daily totals to make sure all hours are accounted for.

  4. Select Submit time

    1. You may have to click on the 3 dots to find Submit.

When do I submit my timecard?

You will submit your timecard by the deadline your supervisor has determined, but no later than the Sunday following the end of the pay period.

Can I submit my timecard if my Supervisor has not approved my change requests or absence requests?

No 鈥 You will need to check to make sure your absences and change requests have been approved before you submit your time or it will not transfer for payment.

What if I submitted my timecard but my Supervisor did not approve it?

Supervisors are required to review and approve timecards by 10:00am on the Monday after the pay period ends. You will need to talk with your supervisor to get your timecard approved by the deadline so your time can transfer. You can assist your supervisor by reviewing your timecard status in Exiting Timecards before 10:00am on Monday.

How do I see my leave balances?

Go to Me/Time&Absences/Absence Balance.

Can I use my Leave Accrual if I want to take it when I earn it?

  1. You can only use your monthly accrual after you have earned it.

  2. The accrual takes place on the 16th of each month so if you are using your accrual you will have to schedule to use the time after the 16th.

Why didn鈥檛 I receive my Longevity on the second BW payroll of the month?

  1. Previously longevity was a manual process which was entered on the second BW pay of the month.

  2. The current system will pay automatically with payroll period that includes your anniversary date.

Who do I contact if I do not have a Govs Suite icon in my OneStop?

Contact Human Resources as it could be an issue with your employment profile. If it needs to be escalated they will be able to tell you the next steps.

What do I do if I cannot log into OneStop?

Contact Govs Tech. There is an issue with your access credentials
