Department/Unit Communications

Department and unit email communications allow targeted updates to specific campus groups, keeping information relevant, actionable, and limited to those who need it most. These communications are managed by each department or unit and follow university-wide standards for professionalism, accessibility, and approval.

What Are Department/Unit Emails?

• Audience: Specific to your department, college, administrative unit, or distinct campus audience
• Purpose: Internal news, program updates, meeting announcements, deadlines, policy changes, or other information relevant only to a defined group
• Channel: Sent using the Emma platform with approved university templates
• Content: Should focus on actionable, unit-specific information (not general campus news)

Examples:

• Department meeting reminders
• Unit-specific deadlines or policy notices
• Program application windows
• Internal staff or faculty updates

Not appropriate:

• Campus-wide or university-level announcements
• Content already included in The Gov Says, FYI, or Governor’s Guide

Approval & Process

• All department/unit emails must be authorized or coordinated through your unit’s communication director.
• Content should be approved by your department head or communication lead before sending.
• Use Emma’s unit templates to maintain consistency and accessibility.
• Do not duplicate campus-wide messages or bypass required approval workflows.

Need to Send a Department or Unit Email?

1. Draft your message following university content and accessibility standards.
2. Submit your draft to your communication director for review and approval.
3. Use the Emma platform and approved templates to send the final message.
