Publication Process & Approvals
We want to help you develop effective promotional materials for University-sponsored activities. Before you begin, consider the following:
- Is your website current, and does it support your planned publication?
- What is the purpose of the publication, and does it align with your department’s overall marketing strategy?
- Who is your target audience?
- How will you distribute the publication?
- Has your chair or supervisor approved the costs for printing and distribution?
- Do you have the resources to produce this publication? Many projects require a graphic design professional.
- Is your area equipped to handle the results (e.g., increased calls or enrollment)?
- How will you measure the publication’s effectiveness in relation to your marketing efforts?

Approval Process
The University requires that all print and electronic publications—viewed by prospective students or the public—are approved by the Office of Public Relations and Marketing. This ensures a consistent, accurate message and brand identity. The publication approval process is governed by .
Please note: The APSU logo must be prominently displayed on all publications.

Checklist for Publication Requirements:
- APSU logo or relevant unit identifier
- A non-discrimination statement
- Brand guide–approved colors and fonts
- Writing in Associated Press (AP) Style
- Publication number (AP#) assigned after PR approval
Submit your publication for review if:
- Printing or design costs exceed $50
- The publication or advertisement is distributed off campus
- The publication promotes an on-campus event open to the public
- It’s a formal invitation (mailed in an envelope)
Note: All publications must be printed on campus unless an exception is granted by the Chief of Marketing and Strategic Communications.

Review Timeline:
Allow three business days for PR review. Longer publications may require additional time.
